When you complete an appointment in PetPocketbook, you can easily send a report card to your clients right from your mobile device in just a few seconds.
⚠️ An owner or administrator level user can choose to turn on or off the option to automatically prompt your team to fill out a report card each time an appointment is marked completed.
If you’ve already checked into the appointment, just tap the start report card button to begin filling out the report card.
If you're not checking in and out of each appointment, you'll be prompted to fill out a report card when you mark complete an appointment, assuming this option is turned on in your report card settings. If not, you can tap into your completed appointment and hit the finish report card button to edit and send your report card.
If you're not ready to send the report card right away, you can save it as a draft and finish it later. Some businesses also use drafts as part of their quality control process; staff can save their report cards as drafts and an admin reviews and sends them to pet parents on their team's behalf.
For dog walking, hiking, and pet sitting appointments, you can select whether the dog peed, pooped, had water, and/or had a treat and then add any additional notes you'd like about the visit as well as attach any photos your clients might enjoy. For all other categories, you can only add notes and photos.
Polish your report card with AI
Once you've written your notes, you can tap polish ✨ to have PetPocketbook smooth out your message. This can help clean up typos, improve the flow, and make your update sound clear and professional while still keeping your personal touch.
To help generate a polished version, PetPocketbook references the information already included in the report card and appointment, such as:
The notes you wrote about the visit
The pet’s profile information
Report card inputs like pee, poop, water, or treats
Check-in and check-out details
GPS or walk data (when applicable)
Appointment details like service type, date, time, and location
Other pets included in the same appointment (such as multiple pets in the same family or others in the pack for group adventures)
The AI only uses the information from that visit to help refine your message. We've kindly asked it not to invent details or add information that wasn’t already included.
Ultimately, your original draft isn’t lost; you can always revert back if you prefer what you wrote or continue editing the polished version. So go ahead and give it a whirl!

Adding photos and videos
To add a photo, use the add photo button and either choose a photo from your device’s library or take a photo if you're on your phone or tablet. You can also attach videos from your device's library.
Including time stamps and a map of your route
If you choose to require staff to both check in and out of their appointments (vs. simply marking their appointments as complete), then a time stamp corresponding to when your team started and ended the appointment in PetPocketbook will automatically be included on the report cards that you send to your clients.
As for GPS, if you're using our mobile app and have enabled GPS tracking in PetPocketbook (in addition to requiring your team to both check in and out of their appointments), then your report cards will include a map of your route. If you're not using our mobile app but have those two settings enabled, your report cards will include a map with GPS pins marking your location when you started and finished each appointment (but not the route in between), along with time stamps for when you started and finished each appointment and its duration.
Sending your report card
To send, just hit the send button after you're all set with your edits. This will send an email notification (see example below) to your client with the basics and a link to their pet parent portal to view or download any photos and videos.
💡 If you’re checking in and out of each appointment, you can end the appointment right from the report card before finishing and sending it.
