How do I charge a client a deposit?
Want to charge your client a deposit for services? No problem! You can add an adjustment to create a bill for the deposit or add the deposit to an existing draft bill for other ongoing services.
To start, go to your Invoices tab and select the family that you'd like to bill. This will take you to their billing activity page.
Once you've opened their billing activity page, you can add a bill adjustment to their account by tapping the add adjustment button, which will open up a side panel on the right of your screen.
In the add adjustment side panel, the adjustment type by default will be set to additional charge, which is exactly what you need to bill for a deposit. Next, simply add the deposit amount and a description and tap I'm done! to finish.
💡 What you input in the description field is exactly how this line item will appear to your clients on their bill, so it's helpful to include the service name and date so they know what they are being charged for.
If you already have an open draft bill for other ongoing services for this client, this deposit charge will be added to that draft bill. If not, the action of adding an adjustment automatically creates a new draft bill scheduled to go out based on the billing frequency that you have set up for this client family. For example, if the family is setup for monthly billing, and you'd like this draft to go out as soon as possible, you can choose to close out this bill early by tapping on the settings button at the top of their billing activity page to update their billing frequency.
If the appointment occurs, you will need to add a discount adjustment once the appointment starts to give your client credit for the deposit that was already paid. You can do so by following the same instructions above to add an adjustment and select "discount" instead of "additional charge" as the adjustment type. If your client can't make it, no worries — there's nothing that you need to do, assuming that you are keeping the deposit!
